Register for Records Retrieval in Four Easy Steps

We often talk about how fast and easy it is to register to use our online portal at The Records Company. How fast and easy is it, really? So fast and easy you can get registered and begin submitting requests in four steps.

Step 1: Profile

To set up a profile, you need your first and last name and your company name. You also need to identify what kind of company you have or work for. The business identification is important because we don’t retrieve records for individuals—they’re usually able to retrieve their own records more easily on their own. We work primarily with law firms, insurance companies, and health care companies, although we do offer the option of identifying other types of businesses.

Once you complete this information, you set a username and password, and you provide an email address where we will send you regular updates about your requests.

Step 2: Billing

Your billing information may be the same as your profile information, or it may be different, depending on the structure of the business you work for. As a result, you enter billing information separately on the registration form, but it’s still simple information. You provide the first and last name of the person responsible for processing payments, their title, phone number, and email address. You don’t have to enter a credit card or other account number to get started with us.

Step 3: Support

Once you’ve set up your profile and billing information, we offer two support options you may want to consider as you get started.

The first option allows you to schedule a conversation with one of our client service specialists to discuss custom pricing options. We usually charge individually for each record we retrieve, based on the cost of retrieving the record, which varies by type of record and by state statutes, in addition to our standard retrieval fee. These costs tend to be lower than those you might incur if you do records retrieval in-house. However, if your company plans to use our services to retrieve large volumes of records, you may want to discuss a contract arrangement. Our client services specialists can help you determine how we can best serve your needs.

You can also opt to schedule a tutorial for using our services. Our portal is designed to be intuitive and user-friendly, and we do provide instructions for submitting requests on our website. A personalized tutorial allows you to build your comfort level with our process and gets you familiar with all our features. The tutorial also allows you develop a relationship with our client services specialists. You’re entrusting us with an important task, and we are there to support you fully from your first request to your 400th request.

 

Step 4: Verification and the Fine Print

After you complete the first three registration steps, you will receive an email with a link to verify the address you have registered. Follow this link and log in through our secure portal to complete the registration process.

Once you’re logged in through the portal, you can select your payment option. You can enter a credit card number here for autopayment. We offer autopayment on a designated date each month, as well as weekly and bi-weekly options. You can also opt to pay by check when you receive an invoice. Invoices are issued when records are delivered.

Along with payment information, you can set a limit for prepayment or autopayment of fees for records. We work tirelessly to ensure you pay the lowest allowable cost for records, but these costs vary from state to state. If you set a fee limit, we will contact you any time the projected fee for a record exceeds your limit, so you can approve the retrieval fee.

Once the billing details are settled, you provide final authorization allowing The Records Company to request records on your behalf. In the fine print, you agree to provide us with the necessary documents to support your requests, which includes release forms.
